Fully Booked Systems Terms of Service

Effective date: 5/11/2026

1. Who these terms apply to

These terms apply to UK businesses and sole traders subscribing to the Fully Booked Systems loyalty programme for business use. In these terms, “we” means Connor Wells, trading as Fully Booked Systems, of 31 Beaumont Court, Haverhill. You can contact us at [email protected]. “You” means the business or sole trader purchasing the subscription.

By ticking the acceptance box and completing checkout, you agree to these terms and confirm you have authority to subscribe on behalf of the business.

2. What’s included

We set up and host a branded digital loyalty programme with QR code sign-up, a member page for points and rewards, automated messages to encourage customers to return, and Google review requests. Your subscription includes an onboarding call, training, ongoing support and minor changes to the scheme.

We’ll arrange your onboarding call within seven days after your first payment clears, subject to your availability. You’ll provide the information, access and approvals we need for setup. We’ll provide the service with reasonable care and skill. We do not guarantee a particular number of bookings, sales or reviews.

3. Subscription and charges

The subscription costs £99 per month, payable monthly in advance, with no setup fee. Your first payment is due when you subscribe. Your subscription renews automatically each month on the billing date shown in your confirmation unless you cancel under section 4.

SMS is charged separately in arrears at [insert your standard rate and billing unit, or link to your SMS tariff]. We’ll itemise those charges. Any other additional work or fees require your written approval in advance.

If you pay by Bacs Direct Debit, you’ll complete a separate mandate through the payment provider. If a payment fails, we may suspend the service after giving you written notice and a reasonable opportunity to pay.

4. Cancellation and refunds

You can cancel at any time by emailing [cancellation email]. If we receive your request before your next renewal date, your subscription will end at the close of your current paid period and you won’t owe the next subscription payment. Requests received on or after the renewal date apply to the end of the new paid period. We’ll confirm your end date by email and refund any renewal payment collected after a cancellation that took effect before that renewal.

We may end the subscription at the end of a paid period by giving at least 30 days’ written notice. Either party may end the subscription if the other materially breaches these terms and fails to put it right within 14 days of written notice. If the breach cannot be put right, either party may end the subscription immediately by written notice.

We don’t give partial refunds when you choose to cancel. We’ll correct billing errors and refund any unused prepaid service if we end the service early for reasons other than your breach. Any refund required by law remains payable. Charges already incurred, including SMS usage, remain due.

5. Rewards and customer information

You choose and fund the rewards, publish your scheme rules and handle customer queries, marketing permissions and opt-out requests. When the subscription ends, we’ll switch off the hosted programme and automated messages. You remain responsible for any rewards your customers have already earned.

For loyalty member data we process on your behalf, you are the controller and we are the processor. We’ll agree separate data processing terms with you before we import or otherwise process member data. Those terms cover how we handle, return and delete that data.

6. Governing law

These terms are governed by the law of England and Wales. The courts of England and Wales have jurisdiction.
